Written by our assessment team: what the criteria mean in practice, the evidence that works, and where learners get caught out.
What this unit is really about
Unit 311 is a support-level finance unit, and the verbs matter: record, check, interpret, maintain, access, input, identify and report, share. You are not being asked to set a budget — that is the Level 5 unit 510. You are being asked to work accurately inside a financial system and to spot and escalate problems.
The access question decides whether this unit is viable for you. The spec says LO2 evidence can come from any relevant financial information covering the criteria, but LO3 must be specific to budget information. If you cannot see a budget, choose a different unit.
The evidence that works
| Learning outcome | Evidence that works well |
|---|
| LO1 — understand organisational finance | Your organisation's financial policies and procedures, the regulations that bite in your sector, the consequences of non-compliance, the budget types you encounter, and the role of budget control |
| LO2 — maintain accurate financial information | Redacted records you produced, the checks you ran and an anomaly you found, an explanation you gave a colleague or stakeholder, and how you handled confidentiality |
| LO3 — support budget control | Evidence of accessing budget information in line with procedure, data you input, a variance you identified and reported, and how you shared budget information |
Criterion 2.2 — check the accuracy of financial entries to identify anomalies — is best evidenced by a real find. A duplicate invoice, a miscoded cost centre, a transposed figure, a missing credit. Show the check, the anomaly and what you did about it. A statement that you "always check carefully" evidences nothing.
Redaction is not optional here
Financial data is commercially sensitive and often personally identifiable (a single-person cost centre is effectively a salary). Before anything enters your portfolio:
- Remove supplier and customer names, account numbers and invoice references
- Replace absolute figures with indexed or scaled values where the real numbers are confidential — provided the criterion can still be met
- Never include payroll data for identifiable individuals
- Get your manager's agreement in writing that the redacted extract may be used, and keep that agreement as part of the evidence
If your organisation will not allow even a redacted extract, the fallback is a reflective account of what you did plus a witness testimony from the budget holder confirming it. Agree that route with your assessor before you write it, not after.
Getting the regulation criterion right
Criterion 1.2 asks about current financial regulations affecting organisational practice. Keep it proportionate and relevant to you: your internal financial policy and delegated authority limits, VAT treatment if you handle invoices, Companies Act reporting or charity SORP if that is your sector, anti-bribery rules on gifts and hospitality, expenses policy, and data protection over financial records. Pick what genuinely applies and explain the consequence of getting it wrong in your role — which is what criterion 1.3 asks for.
